PROJECT ADMIN (2-YEAR CONTRACT)

The role of the Project Admin is to assist the Programme Director and Project Managers in the area of IT project management - administer and organise all activities with the aim of achieving smooth execution of the project.

Responsibilities:
• Responsible for documentation and general administrative tasks mainly
• Filing and up-keeping project deliverables, such as documentation and reports
• Take dictation and minutes in project meetings when required
• Maintain calendars, arrange meetings and appointments, and provide reminders
• Maintain project communication plan, including contact list
• Manage project resources (internal and external) movement records and request
• Participate in planning and coordination of project activities, resources and equipment
• Ensure all documents and action items trackers are up-to-date, accurate and properly filed
• Able to communicate with peers or organisation personnel on information gathering
• Show initiative and able to provide support to the team when tasked
• Act as the point of contact and communicate project status adequately to all participants
• Assist in issuing appropriate official paperwork, such as purchase order, invoices, etc.
• Help to reconcile invoices against purchase orders for project services and deliverables


Requirements:
• Diploma or Degree in Information Technology, Business Admin or equivalent
• At least 5 years’ of experience in coordination position
• Well-organised, attention to detail, able to multi-task
• Possess great interpersonal and communication skills to work as a team
• Willing to engage in processing and administrative tasks whenever necessary
• Proficient in Microsoft Office Suite, including PowerPoint, Word and Excel
• Effective time management and logical decision-making ability
• Motivated and self-driven with positive working attitude
• Preferably Junior Executives specialising in IT/Computer - Software or equivalent
